Your privacy is important to the CAA. This privacy statement provides information about the personal information that the CAA collects and the way in which the CAA uses that personal information.
Your Privacy and The EU General Data Protection Regulation 2016/679 (GDPR)
This General Privacy Notice is to let you know how the Civil Aviation Authority generally uses and looks after your personal information. This includes what you tell us about yourself and what we learn during our relationship with you.
Personal information collection
The CAA may collect and use the following kinds of personal information via our portal or related websites maintained by our subsidiaries and CAA contracted third party suppliers:
- information about your use of our websites;
- information that you provide using for the purpose of registering with our websites;
- information about transactions carried out over our websites and;
- any other information that you send to the CAA.
Using personal information
We may use personal information to:
- send you safety and regulatory updates
- personalize the website for you;
- enable your access to and use of the website services;
- send to you products that you purchase (if applicable);
- supply to you services that you purchase;
- deliver statements, invoices, receipts, exam results and knowledge deficiency reports;
- assist regulatory purposes such as determining eligibility for licences;
- collect payments from you;
- send you refunds (if applicable).
Sharing personal information
Unless we are required to share your information by law, or have in place a contract with a third-party service provider to process your information for the types of purpose described above, we will always let you know if we need to share or release your information.
Where we disclose your personal information to agents or sub-contractors for the above uses, the agent or sub-contractor in question will be obliged to use that personal information strictly in accordance with the terms of this privacy statement and to have sufficient security measures in place to protect personal data.
Users of the e-examination and e-licensing systems in some circumstances must set up a membership with their CAA Approved Training Organisation (ATO). In such cases some booking and examination results information, and some information about licences held will be shared with the ATO. The membership process is initiated by the candidate and, as part of that process, the ATO signs CAA terms and conditions which will include conditions relating to the use of the candidate’s personal information.
Securing your data
We are required by law to safeguard personal information against loss, misuse or inappropriate alteration. Your personal information is held on our Dynamics CRM system which is hosted in Microsoft Azure in European datacentres outside the UK, but located within the European Union under hosting contracts entered into between the CAA and suppliers, with the exception of credit card details which will not be stored.
Subject access requests and complaints
The General Data Protection Regulation (GDPR) provides you with a number of rights in relation to the processing of your personal data, including the right of access to a copy of the personal data we hold about you, known as a Subject Access Request.
There may be legal or other official reasons why we need to keep or use your data. But please tell us if you think that we should not be using it at FOI.requests@caa.co.uk.
You have the right to object to our use of your personal information, or to ask us to delete, remove, or stop using your personal information if there is no need for us to keep it. This is known as the 'right to object' and 'right to erasure', or the 'right to be forgotten'.
We take any complaint about the collection and use of your personal data very seriously. We encourage you to bring to our attention any collection or use you feel is unfair, misleading or inappropriate.
